The Position:


This dual position manages pre-award activities for an assigned portfolio of grants and contracts related to pre-award functions and awareness of federal rules and regulations related to research grant and contract activity, as well as the application and follow up process for registering and updating programs with the New York State Education Department.


Pre-award activities include, but are not limited to assisting faculty/Principal Investigators (PIs) in preparation and submission of federal grant and contract proposals, including:

  • Ensure all applications meet agency and university guidelines and published time tables and deadlines, including management of the Just-In-Time process
  • Ensures proposals are entered and routed in the Cayuse 424 electronic system in a timely manner for further review
  • Verifies all financial information to include application of the appropriate overhead rate for the project
  • Reviews proposals for consistency with sponsor guidelines on budget, format, font size, page limits excluding narrative content (obtain and review sponsor guidelines)
  • Monitors and facilitates proposal process through the routing process in compliance with University procedures and institutional signatures
  • Performs related responsibilities as required

Accreditation activities include, but are not limited to assisting faculty and deans in preparation and submission of NYSED program registration proposals, including:

  • Ensure applications are appropriately routed in a timely manner for internal review before submission for final review and submission to NSYED by the Chief of Staff to the Provost
  • Prepares final PDFs for submission to the agency after approval by the Chief of Staff to the Provost
  • Maintains archive of program registration and changes to program materials
  • Performs related responsibilities as required

Assists the university's Government Relations Office on an as needed basis


Experience and Educational Background:

  • Bachelor's degree and 3-4 years of work related grants and contracts experience. An equivalent combination of education and experience may also be considered
  • Experience working in an academic department or setting with faculty and academic leaders is a plus
  • Familiarity with complex mission-driven organizations
  • Excellent analytical and problem-solving skills
  • Exceptional interpersonal, skills
  • Experience working in a fast-paced and high-pressure environment
