    The Position

    The Kronos Specialist has ultimate responsibility for interfacing the Kronos time and attendance recordkeeping system to the Banner HR module for payroll processing.

     

    The position will work independently to interpret applicable current university policies and procedures and make accurate applications and apply them correctly.  Serves as a first point of contact for employee assistance and information.

    POSITION RESPONSIBILITIES

    • Update the system to ensure the interface with the product and the Banner HR Module.
      • Test and implement all upgrades and interfaces with the Banner HR Module.
      • Manage the Kronos interface process. This includes partnering with various university departments to put in workflow process with documentation and standard operating procedures.
      • Maintain the pay and work rules based on the various union contracts; maintain work schedule and time off process rules. This includes Pay Codes, Rounding Rules, Exceptions, Overtime, Shifts, Holidays, Adjustment Rules.
      • Ensure the effective updating/integration of vendor system upgrades/changes.
    • Manage and configure Kronos time clocks located at various sites throughout the university campuses. This includes set up, effective operation, training and documentation.
    • Work collaboratively with departments to update the system for changes in security access and FOPAL (account) changes
    • Leads and ensure excellent client support including timely resolution of outstanding time keeping issues.
    • Review data at each pay period and liaise with departments to ensure data accuracy.
    • Train user community on appropriate use and roles within the system (employee versus approving manager).
    • Must be able to provide detailed instructions to non-technical people and work to resolve issues.
    • Provide daily Kronos Support to end users, setup and maintain user profiles.
    • Creating reports and troubleshoot reporting issues.
    • Oversees leave accrual processes and ensures accuracy of data and reporting.
    • Develop and maintain current written policies and procedures at all times. This includes partnering with various university departments to maintain/modify a workflow process with documentation and standard operating procedures
    • Prepare payroll related analysis and reports by researching, compiling, analyzing, and verifying data for the Payroll Administrator or Director
    • Provides full support of annual W-2 process implementation
    • Support all internal and external audit efforts.
    • Other duties as assigned.

    QUALIFICATIONS

    Education & Experience:

    • A Bachelor's degree in a related field with a minimum of 2 -3 years’ prior related experience. An equivalent combination of education and prior related experience will also be considered
    • Prior experience with Kronos is required. Prior experience with Ellucian Banner is a plus.
    • American Payroll Association CPP (“Certified Payroll Professional”) is highly desirable 

    Skills and Competencies:

    • The successful candidate should possess the ability to work collaboratively across departments and manage numerous projects simultaneously.
    • Must be able to work under pressure while managing numerous deadlines and communicate well both verbally and in writing.
    • Strong analytical skills, attention to detail, strong verbal and written communication skills are essential.
    • Proficiency in Microsoft Office particularly Word and Excel.
    • Ability to quickly learn and utilize new systems.
    • Demonstrated commitment and track record in implementing continuous improvement techniques and processes.
    • Demonstrated outstanding skills in payroll management and service delivery.
    • Professional and adhere to strict pay processing guidelines at all times.
    • Ability to research Human Resources Policies and Procedures to answer employee questions regarding Time and Attendance.

    Scope of Responsibility:

    • This position will report to and work collaboratively with the Director of Payroll Services staff and will work with various Payroll, HR, Finance and ITS staff.
    • While there is no staff management responsibility this position will liaise and maintain excellent working relationships with external auditors, vendors/benefits providers, agencies, and University contacts responsible for the payroll accounts.
