    The Position:

     

    The Executive Secretary for Doctoral and Online MSW programs is responsible for answering inquiries about the online MSW and Ph.D. programs from students in a professional and timely manner. He or she is also responsible for processing applications materials which entails: receiving transcripts, letters of recommendation, essays; collecting, organizing and scanning pieces of the application into a cyber file and entering the data into Banner. Will work closely with Associate Dean, Executive Director and Directors of these programs to maintain up to date information and communications between administration and students. 

    POSITION RESPONSIBILITIES

    • Oversee day-to-day admissions support needs for the school including:
      • Answer telephone for all programs, face-to-face and online
      • Field inquiries and make sure a prospective student speaks to someone in admissions or a representative of the appropriate program
      • Collect and collate numerous pieces of student applications, scanning them into a cyber file and entering the data in Banner as well as maintain a hard copy file
      • Create student files for Online MSW and Doctoral programs
      • Maintain and update files with appropriate information
      • Notify students of missing materials and upcoming deadlines/events
    • Schedule interviews for applicants
    • Process Intent to Enroll form when returned
    • Maintain accurate lists of current students and their contact information. Create and maintain student directories for each program

    QUALIFICATIONS

    Experience and Educational Background:

    • High School Diploma required, two years of college preferred
    • Minimum of five years of secretarial experience is required

    Skills and Competencies

    • Good typing and word processing skills, well organized.  May require the ability to take shorthand.
    • Knowledge of Microsoft Office Suite and Banner is preferred. Ability to learn systems is a must
    • Develops effective written communications and uses them appropriately. Will act as a liaison for the school both internally and externally
    • Interacts and proactively shares information with internal and external contacts where appropriate
    • Develops effective relationships with peers, students and employees
    • Assumes responsibility to ensure issues/concerns will be addressed and monitors them through conclusion. Highly self-motivated and extremely well organized
    • Identifies, defines and analyzes information and situations before recommending a course of action
    • Effectively manages own time and resources
