The Position:

 

Provide administrative support to the staff of the Straus Center for Torah and Western Thought. The appropriate candidate will interface on a daily basis with the Straus Center staff as well as faculty and staff throughout the University. This position has no supervisory responsibilities. This is a part time position.

 

POSITION RESPONSIBILITIES

  • Answer phones, greet callers and visitors and relay information as needed. Use independent judgment and reasonable discretion when responding to inquiries; manage and route phone calls appropriately
  • Prepare and initiate all aspects of the reimbursement process, honorarium payments, vendor payments, and purchasing card reconciliations
  • Obtain information and prepare required paperwork for guest lecturers, visiting scholars, and student fellowships
  • Liaise with university approved vendors to assess service offerings; collect information to prepare associated paperwork when applicable
  • Coordinate travel bookings and prepare associated forms
  • Assist with coordinating logistics for events and meeting spaces; reserve space and order food
  • Provide support at Straus Center events on an occasional basis
  • Prepare and organize course teaching materials
  • Assist in the preparation of the Director’s Report by collecting and organizing speaker biographies, photos, course descriptions, and event announcements
  • Manage and order office supplies
  • Distribute incoming mail
  • Perform other related duties as assigned

QUALIFICATIONS

Experience and Educational Background:

  • Bachelor’s Degree
  • 1-2 years administrative office experience
  • An equivalent combination of education and prior related experience may also be considered

Skills and Competencies:

  • Must have excellent written communication skills
  • Must have superior organizational, interpersonal, and time management skills
  • Proficient in Microsoft Outlook, Microsoft Excel, and Microsoft Word
  • Candidate must perform with high level of maturity and professionalism using independent judgment and reasonable discretion when responding to inquiries
  • Must be detail oriented, and a team player capable of working in collegial environment and meeting deadlines, but also able to work independently
